Pre-Event
- During the pre-event kickoff call, we’ll review:
- Itinerary + travel plans
- Key attendees
- Top prospects
- Current clients
- Other key attendees of note
- Don’t forget to schedule OOO on your calendar and email auto-responders. It’s difficult to stay on top of your inbox at events.
- Packing list:
- sojo pin
- sojo colors and neutral tones for all clothing (hues of orange, blue, yellow, pink, white, tan). No black clothing. Vibe is business casual so jeans are appropriate with no rips preferred.
- Execute pre-event outreach strategy:
- Clients: Invites to dinner, make sure they know we’ll be there and to stop by the booth
- VIPs: direct mail and personal email
During the event
- First things first, booth setup. All hands on deck.
- Remember, you’re representing sojo from the minute you get off the plane. Everyone is traveling into that destination at the same time, so it’s likely you’ll bump into people in the airport, hotel check-in line, etc.
- Expect to be out late and be on-time in the morning. It’s a marathon.
- Be sure to have your business cards on hand.
- Keep the booth space clean. With so much sojo product displayed, it gets cluttered quickly with personal drinks/laptops.
- Be open and attentive at the booth, but not salesy. Our superpower is creating a warm, welcoming vibe that people are eager to be a part of. We’re never pushy.
- Both at the booth, at events, and moments in between, professional and friendly are the name of the game.
- Do your best to get a business card from everyone you talk with.
- After a conversation, brain dump key points (action items, important context) into the event Slack channel.
Post-event
- Tear down the booth and ship out all boxes. This is tedious after a long event, but it’s important to do this well to setup the next event for success.
- If possible, grab a drink or huddle up at the airport for 15 minutes to do a quick event debrief before any details are lost. Important to capture:
- Action items/promises made
- Key learnings (did well/do better)
- Then, hug it out - you did it!

- Everyone else we saw
